Administrative Assistant / Receptionist - Santa Maria Public Airport

Job Summary: 

Under the direct supervision of the Manager of Finance and Administration, The Administrative Assistant / Receptionist will perform various clerical and general administrative duties, including project-specific assignments.  Contact with members of the public and other governmental agencies is required. 

Responsibilities: 

Respond to incoming phone calls and direct to relevant recipients;

Each evening initiate phone message service and collect messages left after hours each morning;

Provide and distribute airport informational brochures to interested individuals;

Respond to long-term parking and hangar availability inquiries;

Collect, open, receipt stamp and distribute mail each morning; separate currency and checks and issue receipts;

Distribute office supplies to staff, as required;

Prepare final written and electronic correspondence, transmittal letters, memoranda, reports, labels and various other documentation;

Prepare daily bank deposits and take to the bank;

Prepare and distribute monthly car rental and airline passenger enplanement/deplanement reports and charts;

Maintain scrapbooks of newspaper airport-related articles of interest;

Order office supplies as needed and maintain inventory;

Assist in making appointments and travel/conference arrangements for staff and directors; Processes District's accounts payable checks and distribute payroll checks;

Distribute construction project bid documents;

Updates Boardroom Use Calendar and processes inquiries;

Complete filing; send / receive faxes and distribute to appropriate person; copy documentation as directed;

Assist in administering and preparation of leases, service agreements, Board agendas and minutes, as well as prepare “agenda packages” for directors, staff and news media, as required. 

Qualifications: 

High School Diploma and 2 years of relevant experience;

Proficient oral, written interpersonal and organizational skills must possess a high level of attention to detail;

Experience with general office practices, procedures and equipment;

Proficient in the Microsoft suite of products, computer competency and the ability to type at least 50 words per minute on a keyboard;

Ability to effectively multi-task and work independently with little supervision;

Knowledge of accounting terms and concepts, desirable. 

Compensation Range:

$20.15 - $24.49 per hour for this full-time, non-exempt position
