Client Intake / Receptionist - Legal Practice

Job Summary:
The Client Intake / Receptionist will be responsible for answering a high volume of calls, while also working with potential new clients to investigate their legal needs, provide details of our legal services and schedule an initial consultation with our attorneys.
Duties / Responsibilities:
Answer incoming phone calls and field to the appropriate person, or take informative messages;
Act as the initial contact for walk-in clients and phone clients and gather crucial information in connection with their legal needs;
Evaluate prospective client inquiries to determine their case fit and ensure they feel seen and heard;
Set appointments for potential clients that meet our criteria;
Maintain the consultation calendars in an accurate and precise manner;
Organize paperwork and perform data entry in our case management system, in order to streamline new client onboarding and current client files;
Perform various tasks, such as sending/responding to email communications, document management, data organization and research, to ensure our firm runs at peak efficiency;
Follow up with new clients consistently and compassionately, in an effort to move them through the decision-making process in retaining our firm for their legal needs;
Nurture relationships with new clients and assist with their retention of our firm, as needed, following the initial consultation with the attorney;
Other duties as assigned.
Qualifications:
At least 2 years of current experience within a similar role;
Ability to answer multi-line phones with confidence and professionalism and provide concierge-level services to our clients;
Ability to effectively convey our services to prospective clients and possess the ability to close the transaction resulting in the retention of our firm with those clients;
Proficiency in the Microsoft Office suite of products and experience with CRM and case management software, a plus;
Astute time management, attention to detail, multi-tasking, follow-through and customer service skills;
Exemplary oral and written communication and interpersonal skills;
Ability to work effectively alone and cohesively within a team;
Must be empathetic, driven, resilient and persistent.
Compensation:
$24.00 - $30.00 per hour DOE, for this full-time non-exempt position
