Project Manager - Commercial Signage Company

Job Summary:
Reporting to the Director of Projects the Project Manager will manage multiple assigned projects to ensure smooth operations, client satisfaction and profitability, while assuring that all client projects are completed in a timely manner and within budget.
Duties / Responsibilities:
Ensure client projects are completed, delivered and installed to agreed specifications and highest quality;
Monitor related internal team schedules to ensure timely completion of projects;
Monitor and manage incoming directives, RFIs, ASIs, field orders, submittals, shop drawings and other correspondence from client, should a deviation from the base bid of the contract need to be amended;
Request change order pricing from Estimating team and submit to client as necessary, while tracking relevant costs and ensure formal change orders are received and billed;
Attend all relevant meetings to maintain continuity in communications with internal and external parties
involved in the projects;
Coordinate and/or schedule meetings with Production Manager, Installation Manager, related team
members and vendors to front-run potential problems and ensure continuity;
Oversee coordination of Studio Graphic Designer, client and/or /client designer, to ensure all shop drawings meet design intent and client expectations;
Coordinate / make on-site visits to monitor site construction conditions;
Communicate installation schedule with client and Production Manager, while keeping Director of Projects current on installation and completion schedule;
Perform other duties as assigned.
Operational Effectiveness:
Monitor incoming directives and immediately communicate potential changes to client Project Manager;
Upload installation notes to Dropbox via Wayfindit, or email summaries;
Coordinate with Project Accountant to ensure all billings are prepared and sent out monthly;
Requisition project materials in a timely manner from both outside vendors and the in-house production
shop;
Track projects for any differences in contract scope; prepare change order notices and proposals; advise
client of changes and send to client for approval;
Set up installation dates for assigned projects in QuickBooks Time;
Process punch list items when received by client and continue to track progress of activity and perform
reviews for each project assigned;
Track all project schedules and tasks in the Airtable Scheduler using CPMs to generate work back
Schedules;
Coordinate with Office Manager / Project Accountant to prepare and send invoices, while ensuring
billings are submitted on-time and accepted by the client;
Ensure outstanding collections of billings are monitored, brought current and updated in tracker weekly;
Use Airtable to submit requests to various departments for processing/task assignments.
Qualifications:
Bachelor’s degree in Business, Operations, or related discipline, preferred;
PMP Certification, a plus;
3 years of proven project management experience, preferably within the graphics industry;
Astute organizational, time management, attention to detail, high level of accuracy and problem-solving skills, with the ability to thrive in a fast-paced environment;
Exceptional oral and written communication, interpersonal and leadership skills;
Proficiency in the MS Office suite of products to include Teams, Dropbox and industry-related project management-related software.
Compensation:
$80,000 - $120,000 annual base salary range, DOE, for this full-time, exempt position.
Benefits:
80 hours of annual paid vacation time during years 1 -3 on an accrual basis and rising incrementally thereafter;
40 hours of annual paid sick time allotted in a lump sum annually;
